STEP 10. Ongoing Analysis & Adjusments

Follow through, ongoing involvement and timely adjustments are very important over the course of a long-term program like ours. After all, the world is not static. New patients move into your area, others move away, your competitors try new things and various factors impact the economy. Changes are therefore continual and that’s why we also provide active involvement every step of the way. We don’t simply get you started and then jump ship assuming your program can continue perpetually on auto-pilot without making necessary course adjustments along the way.

As part of our turnkey services, we provide comprehensive analysis, a dynamic follow-up lead generation system and fine tuning adjustments to continually increase impact and results so you get the maximum benefits for as long as possible.

One key mechanism we use to analyze ongoing results and gauge success is tracking patient phone calls. We follow-up with you and your staff to determine exactly what kind of responses you're getting, from whom, when the calls were received and how they were handled. What were the inquiries about? Were the callers just shopping or were they ready to make an appointment? What were these people interested in? What questions were they asking? How many of those calls were actually converted into appointments and how many actually came in for a visit? What happened when they visited and how much income was produced? And lastly, for those callers who did not make an appointment, what happened? Was your staff able to capture their information and so on?

Practice makes the perfect practice.

We keep our program flexible so we can react to inevitable shifts in the market and to specific situations that occur as the campaign progresses. If after a minimum of six monthly hits, the response rate and our analysis call for testing a new target group, we will execute an appropriate adjustment or refinement of the target audience. (Any sooner than six months and we simply will not have accumulated enough reliable data to make a qualified determination.) This will be mutually decided in conjunction with you taking into account the experience of your office with respect to new patient response rates and other measurable factors that indicate less than optimum results. Then, after the adjustments are made, we will continue the program for a second six-month period before reassessing patient profiles, mailing lists, offers, etc.

In a nutshell, we will make the proper adjustments in a timely fashion but we also want to avoid making knee-jerk reactions and ill-advised changes based on incomplete information.
